Events and Community Engagement Coordinator

The Advent School, located in the Beacon Hill section of Boston, Massachusetts, educates 160 students in pre-Kindergarten through Sixth Grade. A mission-focused school founded in the principles of social justice, Advent has served the students and families of Boston since 1961. Through its Reggio Emilia-inspired curriculum, Advent's faculty deliver authentic, rigorous, and experiential learning opportunities that encourage students to "learn with passion, act with courage, and change the world."

The Advent School seeks an Events & Community Engagement Coordinator. A member of the Head of School’s Office, and working closely with administrators across multiple departments, the Events & Community Engagement Coordinator plans and executes events that foster engagement of all constituents. They are the point of contact for parent/caregiver volunteers, and seek new ways families can get involved in the school community.

The Events & Community Engagement Coordinator is a salaried position for the 2025-26 academic year that includes medical and dental insurance, a 401(k) plan, professional development opportunities, and vacation benefits. Work hours are 8:00 a.m. - 4:00 p.m. Monday through Friday; some nights and weekends may be required. Salary range is $50,000 - $70,000 annually, depending on experience.

Responsibilities & Duties

Events

●      Oversee planning and execution for school-wide events, including maintaining event planning records and delegating tasks appropriately

●      Keep the school’s mission at the forefront, centering equity and accessibility in all event planning

●      Ensure the space, vendors, and materials are secured and ready prior to each event

●      Work with the Director of Marketing & Communications to create informative and engaging content for the promotion of school events and other opportunities for engagement

●      Work with the Director of Development on the event planning process for the school’s annual benefit and additional fundraising events

●      Assist the Director of Enrollment Management in executing events for prospective families

●      Keep the administrative team informed of upcoming events, staff roles at events, etc. at team meetings

●      Reflect and evaluate after each event, conferring with appropriate individuals to analyze successes and growth points, and using this information to inform the planning of future events

Vendors

●      Secure event venues for school-wide events, including Head’s Fall Welcome, Winter Concert, Spring Play, and Graduation

●      Secure vendors for events as needed, including food, audio equipment, tables/chairs, etc.

●      Collaborate with community partners for events, including neighborhood and partnership outreach

●      Prioritize Advent's ordering practices for mission-alignment, environmental impact, and efficiency while considering budgetary constraints when ordering supplies and materials for events

Volunteers

●      Build, foster, and maintain meaningful relationships with volunteers and the community as a whole

●      Develop a strategy for volunteerism, including offering a variety of opportunities for constituent engagement beyond traditional volunteer roles

●      Mobilize constituents, including students, faculty, families, and alumni, to become involved in various spaces and aspect of school life

●      Work with members of the administrative team to recruit, manage, and maintain volunteers

●      Support Advent’s Class Ambassadors in leading their own community events and class engagements through meetings and email communications

●      Provide opportunities to welcome new families into the community and educate them on the various ways they can get involved

●      Proactive self-starter who routinely takes initiative and is accountable

●      Demonstrated ability to manage multiple tasks, to be flexible, and to prioritize to meet deadlines

●      Excellent verbal and written communication skills

●      Strong technology skills, including proficiency in Google Workspace. Skill in graphic design tools, such as Canva, is an asset
