Database Manager
The Advent School, located in the Beacon Hill section of Boston, Massachusetts, educates 160 students in pre-Kindergarten through Sixth Grade. A mission-focused school founded in the principles of social justice, Advent has served the students and families of Boston since 1961. The Database Manager supports the school in leveraging, integrating, and optimizing a suite of administrative technologies, including Blackbaud’s K-12 Education and Raiser’s Edge NXT. A member of the Head of School Office team, they manage all of the school’s databases. This includes supporting the Business Office with Blackbaud Tuition Management and the Advancement Office with gift processing, prospect and alumni research, and ensuring accurate and up-to-date donor records.
The Database Manager is a salaried position for the 2025-26 academic year that includes medical and dental insurance, a 401(k) plan, professional development opportunities, and vacation benefits. Work hours are 8:00 a.m. - 4:00 p.m. Monday through Friday; some nights and weekends may be required. Salary range is $50,000 - $70,000 annually, depending on experience.
Responsibilities & Duties
System Integration & Optimization
● Develop efficient workflows between Blackbaud systems and custom tools for seamless data management and reporting
● Collaborate with Blackbaud support to troubleshoot technical issues and implement enhancements to the database system
● Regularly update a user guide for all Blackbaud systems and follow up with staff to ensure that protocols and procedures are followed appropriately
Constituent Data Management
● Work with Director of Enrollment Management on prospective family Blackbaud accounts and information during the admission process
● Register new students, request records, assist in withdrawing students, and send records as needed
● Accurately maintain information related to student enrollment, retention, and graduation
● Support the Department of Teaching & Learning with the upload of student progress reports
● Create and update employee accounts in Blackbaud, including creating accounts for new hires, etc.
● Generate constituent lists as needed for communications, marketing, and fundraising programs
● Collect and update all constituent information in the databases annually, including student, family employee, alumni, and donor information
● Prepare and distribute DASL, NAIS, state immunization, and other survey data annually
Blackbaud Tuition Management
● Work with the Director of Finance to oversee Tuition Management system in Blackbaud, including generating, distributing, and tracking re-enrollment and enrollment contracts in system
● Communicate enrollment / re-enrollment data to Head of School, Assistant Head of School, and Director of Enrollment Management
● Support the Enrichment team in building fees in the Blackbaud Tuition Management platform for after school classes, school vacation programs, etc.
Raiser’s Edge NXT Management
● Work with the Director of Development to maintain fundraising and donor data, run reports, and generate queries
● Add, update, and confirm accuracy of all database records to include constituents, gifts, appeals, funds, campaigns, tributes, events, volunteer status
● Perform year end reporting tasks such as updates, constituent change-over, and report generation, including gift reports for the Advancement and Business Office and supporting the annual audit
● With the Director of Finance and Director of Development, establish, document, and ensure protocols for database integrity, donor standards, and IRS regulations

● Proven experience in database management, preferably in an educational institution
● Knowledge of all Blackbaud systems, including Blackbaud’s K-12 Education and Raiser’s Edge NXT, is required
● Expertise in Microsoft Word, Excel, Google Suite, mail merges, and data input
● Demonstrated commitment to maintaining constituent and donor confidentiality and handling sensitive information ethically
● Strong organizational skills and attention to detail and accuracy in data entry and record keeping
● Strong analytical skills with the ability to interpret data and generate meaningful reports
● Ability to manage multiple projects, meet deadlines, and prioritize among assignments
● Ability to work independently and as an effective team player
